Timeline Tips

Ceremony

If you are having your ceremony outside, make sure you build in time for your guests to get back to the Willows. Some guests will arrive right before the ceremony is set to begin and they will need time to be seated. Plan to start your ceremony a few minutes later or provide your guests with an earlier arrival time. Renting the Trolley is a great way to get guests to the ceremony in an efficient manner.

Photos

If you are planning on taking wedding party photos out by the Willows, plan a little time after your ceremony while everyone is already all in one place. Utilizing the Trolley to transport everyone at once earlier in the day is also an efficient option, as we are not able to take all of the wedding party on the golf cart.

Vendors

Make sure you give each of your vendors a copy of your timeline and the venue expectations before your wedding. Include all of the times the vendors will be arriving and departing so everything is really clear. We recommend staggering their arrival times so that all your vendors have plenty of time and space to unload. The more details you can provide, the better!

End of Night

Work backwards from how long it takes your vendors to clean up. Sometimes DJs or bartenders will need extra time to tear down. If they need an hour to clean up, make sure you end early to give them adequate time. Your guests will need to be off the property by 12:00am on a Friday or Saturday event, 0r 10:00pm on a Sunday - Thursday event. Your clean up crew and vendors with their equipment and trash must be off the property by 12:30am on a Friday or Saturday event, or 10:30pm on a Sunday - Thursday event. Per our contract, failure to vacate by that time will result in an additional rental fee.
